CANCELLATION POLICY
1. Session Pricing & Non-Profit Mission
Just Breathe O2 C.I.C operates as a Community Interest Company. Our session fees and block discounts are structured to cover essential operating expenses while keeping hyperbaric oxygen therapy affordable. Because chamber capacity is strictly limited per session, every booked time slot represents reserved equipment and dedicated staff cover.
2. Cancellation & Rescheduling Notice (48-Hour Rule)
- A minimum of 48 hours’ notice is required to cancel or reschedule any appointment without penalty.
- Cancellations made with less than 48 hours’ notice will result in the session being deducted from an active block or billed in full (£55 single session rate).
3. Operating Hours & Out-of-Hours Notifications
To ensure our team has adequate working time to offer open slots to other clients, cancellations are only logged during active operating hours:
- Business Hours: Notice sent after 5:00 PM on a weekday is logged as received at 9:00 AM on the following working day.
- Weekend Policy: Notice sent anytime between Friday afternoon (after 12:00 PM) and Sunday night will be recorded as received at 9:00 AM on Monday morning.
- Example: An appointment scheduled for Tuesday at 10:00 AM must be cancelled by Friday at 10:00 AM to meet the 48-hour working notice requirement. A message sent on Friday evening or over the weekend does not allow sufficient working notice and will be treated as short-notice.
4. Discounted Session Block Expiry
- Session blocks are sold at a reduced rate on the condition that sessions are used regularly within a specified validity period.
- Block expiration dates are strictly enforced. Any unused sessions remaining after the block expiry date will be forfeited.
- Sessions within a block are non-refundable and non-transferable unless explicitly agreed upon in writing by management.
5. Emergency Exceptions & Refilled Slots
If you must cancel under short notice, our team will make reasonable efforts to offer the slot to someone on our waiting list. If we are successfully able to refill your exact chamber slot, the cancellation charge/block deduction will be waived for that instance.
